About the Role
We are looking for a Corporate Services Executive to manage and coordinate the day-to-day corporate operations of our client’s business.
You will work closely with the Business & Finance Controller and coordinate with internal teams, consultants, and external partners to ensure important information, documents, payments, reports, and follow-ups are properly organised and completed on time.
This role is best suited to someone that highly organized, comfortable managing multiple priorities, and proactive in keeping track of what needs to happen next.
We are also looking for someone who is tech-savvy and genuinely curious about AI and automation. AI should be more than a writing or translation tool for you—you should be interested in exploring how technology can improve workflows, reduce repetitive work, organize information, and make everyday operations more efficient.
What You’ll Do
Finance & Accounting
Support day-to-day finance and accounting activities, including invoices, payments, bookkeeping, reconciliations, and financial documentation
Assist with monthly financial reporting, budgeting, and cash flow monitoring
Maintain accurate and organized financial records and supporting documents
Prepare and coordinate financial information required by internal and external stakeholders
Coordinate with accountants, tax consultants, banks, and other external parties
Track outstanding finance-related matters and ensure required follow-ups are completed on time
Corporate & Agreement Administration
Maintain and organise corporate documents, agreements, and internal records
Track agreement status, signatures, renewals, required documents, and outstanding actions
Coordinate agreement-related information and documentation with relevant internal and external parties
Follow up on pending matters and provide clear updates on progress and required next steps
Ensure important corporate documents and records are properly maintained and easily accessible
This role is not expected to independently draft legal agreements. However, you should be comfortable working with agreements, understanding their administrative requirements, coordinating the necessary documentation, and keeping relevant stakeholders updated.
HR & People Administration
Coordinate employee-related files and HR administrative documentation
Prepare, collect, organise, and maintain employee data and supporting documents required for payroll and BPJS processing
Coordinate payroll and BPJS documentation with the relevant internal team or external provider
Maintain employee records, employment documents, onboarding files, and other HR-related documentation
Track outstanding HR administrative requirements and follow up with the relevant parties
Ensure employee information and supporting documents are complete, accurate, and submitted on time
This role is not responsible for calculating payroll or BPJS. The responsibility is to coordinate the required employee data, files, and supporting documentation and ensure they are properly submitted to the relevant party.
Operations & Coordination
Coordinate day-to-day corporate and administrative matters across different areas of the business
Maintain trackers for ongoing tasks, deadlines, documents, and outstanding matters
Follow up with internal teams, consultants, vendors, and other external parties as required
Provide clear and timely updates on ongoing and pending matters
Support internal reporting and other business-related administration
Identify missing information, upcoming requirements, or potential delays and proactively follow up
Take ownership of assigned matters and follow through until completion
AI, Technology & Process Improvement
Use AI and digital tools as part of daily work to improve efficiency, accuracy, and organisation
Explore practical ways AI can support Finance, Administration, HR coordination, reporting, research, and other operational tasks
Identify repetitive or manual processes that could be simplified or automated
Explore new AI tools, workflow automation, and digital solutions that could improve everyday operations
Help improve internal trackers, documentation, workflows, and information management
Continuously look for smarter and more efficient ways of working
What We’re Looking For
Bachelor’s degree in Finance, Accounting, Business Administration, or a related field
Min 3 years experience in the related field
Finance or Accounting background is strongly preferred
Good understanding of day-to-day finance and accounting processes
Comfortable working with corporate documents and agreement-related administration
Strong attention to detail and organisational skills
Able to manage multiple priorities and consistently follow up on outstanding matters
Strong Excel / Google Sheets skills
Tech-savvy and genuinely interested in AI, automation, and digital tools
Good written and spoken English
Strong communication and coordination skills
Proactive, resourceful, and comfortable working independently
Comfortable working across different functions rather than within a narrowly defined role
Able to communicate updates clearly and keep relevant stakeholders informed
Someone who actively looks for better ways of working rather than simply completing assigned tasks
Nice to Have
Experience with Xero or similar accounting software
Experience with Google Workspace and digital collaboration tools
Experience using AI tools for productivity, research, analysis, data organisation, or workflow improvement
Exposure to workflow automation or no-code tools
Experience coordinating with accountants, tax consultants, legal consultants, or other professional service providers
Previous experience in a startup, consultancy, property, architecture, development, or other fast-moving business environment
Who Will Do Well in This Role
You will likely thrive in this position if you have a solid Finance or Accounting foundation but enjoy being involved in the broader operations of a business.
You are naturally organized and like knowing what is happening, what is still pending, who needs to be followed up with, and what needs to happen next. You are comfortable coordinating with different people and can keep things moving without needing constant supervision.
